What Is Workflow Automation?

Workflow automation orchestrates tasks, states, and handoffs across people and systems so work moves forward by rules instead of inbox chasing.

Workflow automation is the use of software to move work through defined states and handoffs based on triggers and rules. When an event happens—form submitted, invoice received, deal stage changed—the workflow assigns tasks, updates fields, calls APIs, or waits for a human decision.

Design principles

Start with the happy path, then add the top exceptions. Keep ownership visible. Prefer idempotent actions so retries do not duplicate side effects. Integrate with systems of record rather than maintaining a parallel shadow process in spreadsheets. If the workflow cannot explain “who owns this case now,” it is unfinished.

Human tasks inside automation

Automation is not only machine-to-machine. Human tasks—approve, upload evidence, schedule visit—belong in the model with due dates and escalation. If humans only live in chat, the workflow tool is incomplete and status will drift back into inboxes.

Versioning workflows

When you change a live workflow, decide what happens to in-flight cases: finish on old version or migrate. Silent mid-flight rule changes confuse auditors and staff alike. Document the change window the same way you would document a price-list update.

How many branches should a first workflow have?

Fewer than you think. Ship the happy path plus the top two or three exceptions. Over-branched diagrams become untestable and unread.

A named owner for stuck cases, logs for each transition, idempotent side effects, and an agreed SLA for human steps—not only a green checkmark in a builder UI.

Can workflows replace approvals?
